Director, Administration
The Director of Administration provides the direct supervisory support to a team responsible for operational and administrative management and support to UNICEF USA headquarters in New York City, and regional offices located in Atlanta, Boston, Chicago, Dallas, Houston, Los Angeles, San Francisco, and Washington, D.C. This position is based in New York.
Key Responsibilities/Outcomes (include but are not limited to):
Directing the Administration Team. Prioritize daily facility issues and effectively delegate responsibilities
Collaboratively establishing individual staff goals, and managing staff performance to ensure individual and departmental goal achievement
Providing oversight of the delivery of all Administration services to HQ and Regional Offices, including the Bring Your Own Device program (BYOD)
Developing metric reports pertaining to maintenance operations and goals
Managing higher level building maintenance issues
Executing and managing strategy for negotiating and maintaining facilities service contracts, including but not limited to Elevator, HVAC, Boilers, Pest Control, Waste Removal, Plumbing, Electrical, Fire Safety Plans
Ensuring that facilities are compliant with Federal, State and Local codes and regulations relevant to life safety, OSHA, EPA, & Fire safety. Also ensures that all UNICEF USA policies and procedures are being followed
Planning and directing construction projects and facilities services operations in NY HQ and Regional offices
Directing and/or participating in workplace space design planning
Acting as liaison between UNICEF USA and property management teams (building security, building superintendent, engineering staff, etc.) at New York HQ and Regional offices
Identifying, recommending, and implementing solutions to create and maintain safe, functional, secure, clean, efficient, economical, and orderly facilities operations
Develops and manages facility expense budgets, including recommending long-range plans for equipment and capital expenditures
Acting as a backup to the Travel Associate as necessary
Qualifications:
Bachelor’s degree (Masters a plus) and a minimum of ten years related experience overseeing the Maintenance function for a minimum of 5 locations
Management experience in customer service with a working knowledge of systems, facilities operations (lighting, HVAC and contingency planning) and contemporary office equipment technologies
Knowledge and experience managing multiple facets of Facilities to include but not limited to cleaning, security, IT
Strong demonstrated contract negotiation skills
Excellent communication, analytical and organizational skills. Ability to handle multiple priorities simultaneously
Strong management and strategic leadership skills
Significant experience managing a budget
Ability to build relationships and work with a large, diverse group of employees and suppliers
Solid experience hiring, training and managing diverse groups of people who possess a wide range of skills and abilities
Must be willing to work non-standard hours when necessary
Excellent computer skills with proficiency in Microsoft Word, Excel, PowerPoint and Outlook
