Facilities Manager
Reporting to the Director of Administration, the Facilities Manager is a hands-on position, responsible for facilities maintenance, workspace assignments, vendor management and security; product and materials inventory management; and supervising at least three (3) staff persons.
Key Responsibilities/Outcomes (include but are not limited to):
Collaboratively establish individual staff goals, monitor & evaluate staff performances to individual and department goals
Manage the assignment of HQ & regional workspaces in compliance with established standards
Identify, recommend and manage administrative vendors related to workspace furnishings, cabling, electrical, mechanical, plumbing, movers and carting
Manage workstation & office space assignments to ensure that workspaces are being used appropriately and sufficient space can be allocated for projected human resource demands across the country; responsible for maintaining the appearance of office facilities
Interact with building security, building superintendent & engineering staff at HQ and in the regional offices
Plan, evaluate, and improve the efficiency of processes and procedures to enhance quality and efficiency
Designs and implement office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments
Manage the preparation and maintenance of reports necessary to carry out the functions of the department, keeping management informed by reviewing and analyzing reports; summarizing information and identifying trends
Manage department vendor contracts and vendor relations
Manage the use of storage assets to ensure effective product & materials inventory management
Lead the physical maintenance & HVAC supplemental systems of UNICEF USA office facilities; receive and respond appropriately to critical environmental alarms at HQ 24/7
Recruit, train & lead the HQ safety team members and circulate current regional office emergency action plans
Supervise three Facilities Assistants and Temporary Staff
Manage the Administration Team in the absence of the Director
Undertake special projects as required
Qualifications:
Associate's or Bachelor’s degree preferred and a minimum of five years of relevant work experience
Utilize creative thinking, problem solving, and analytic skills to gather and evaluate data to address and improve Administration processes, procedures and resolve daily challenges
Ability to work independently and lead projects; ability to take initiative, think strategically and work creatively
Hands-on experience that demonstrates a progressively broader assumption of responsibilities over time
Must be able to work collaboratively and professionally as a member of the Finance Division and with colleagues in other departments with a flexible and enthusiastic approach to work
Demonstrated experience successfully managing and leading a small team. Facilities Management experience is a plus
Excellent Project Management and Leadership Skills
Confidence, enthusiasm and professionalism when communicating to both external partners and the internal team – a “can do” attitude
Strong “client service” orientation and interpersonal as well as negotiation skills, and written/verbal communication skills
Excellent oral and written communications skills and excellent presentation and negotiation skills; ability to think and write creatively
Utilize creative thinking, problem solving, and analytic skills to gather and evaluate data to address and improve Administration processes, procedures and resolve daily challenges
Must be highly organized and possess outstanding interpersonal skills to interface with people at all levels and backgrounds while maintaining tact, diplomacy, and confidentiality
Ability to work a flexible schedule that includes early morning hours, weekend and evening commitments, and travel to regional offices
