Human Resources Assistant
Reporting to the Vice President of Human Resources & Administration, the Assistant will provide administrative support to the VP of HR, as well as operational support to the Human Resources Department. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is proactive, resourceful, a good problem solver and very organized. Assuring a steady completion of work in a timely manner is key to success in this position.
Key Responsibilities/Outcomes (include but are not limited to):
Coordinate meetings, conferences and expense reports for the VP, Human Resources
Act as front line response for all general phone and e-mail requests, and both routine and sensitive / confidential inquiries
Assist with regular updating of Organization Charts and staff information in the HRIS system
Assist with time and attendance data in HRIS, and coordinate with Payroll on a weekly basis. Ensure accuracy of time tracking data and generate reports as needed.
Distribute payroll checks, respond to employee questions and concerns relative to payroll issues, and act as liaison to Payroll department
Coordinate logistics for HR sponsored meetings and programs like Health Fairs, flu shots, wellness seminars, holiday parties, service awards, etc.
Assist with department organization and confidential filing
Review invoices and HR-related reimbursements, and prepare and track check requests
Back up Talent Acquisition Associate with on-boarding processes
Back up Talent Acquisition Associate in responding to staff requests for Temporary Employees, including liaising with Temporary agencies and ensuring timely review and submission of timesheets
Assist with the preparation and completion of confidential new hire, benefits and termination files
Perform other clerical, administrative or team support duties as needed
Qualifications:
Associate’s or Bachelor’s degree preferred and a minimum 3-4 years related administrative experience (preferably in Human Resources or other confidential function)
Tact, diplomacy and the ability to keep confidences are essential
Proficient in the use MS Word, Excel, PowerPoint, Calendar and Mail
Excellent interpersonal, communication, organizational, and administrative skills
Efficient and comfortable being a member of a team
Proactive and able to handle multiple tasks, adapt to changing priorities, and work both independently and as a team member
Demonstrated knowledge of and experience with HRIS systems. Experience with ADP Workforce Now preferred
Comfortable working with cloud-based software
